Destination Damselfly Lesbian Travel Terms

Please take the time to read and understand the conditions of booking set below prior to booking a trip with Destination Damselfly. We strongly recommend that you also read the itinerary pages relating to your trip prior to booking to ensure that you understand the inclusion and style of the trip you are undertaking.


All bookings are made in conjunction with Destination Damselfly (us/we) and Siva Travel Services who are our ground handler in Greece. Destination Damselfly is responsible for providing administration, customer services, payment management, island accommodation and operation and execution of the trip. Siva Travel Services is responsible for coach transfers, ferry ticketing and Athens accommodation arrangements. By booking a trip with us, you are deemed to have agreed to these Booking Conditions (which constitutes the entire agreement between you and us) and your booking will be accepted by us on this basis.  The services to be provided are those referred to in your booking confirmation invoice.


Dates, itineraries and prices are valid from 01 February 2017 to 31 December 2017.  Beyond 31 December 2017 dates, itineraries and prices are indicative only.


As a customer, you are required to pay a non-refundable deposit of 200 Euros of the total trip fee for your booking to be confirmed. Please note that a special deposit requirement applies for all our trips that are listed (present or future trips). This deposit is non-refundable. Should you wish to break the payment and pay in a different manner, please email us prior to you completing the booking form.  

The Booking form is designed to collect the full payment, however Destination Damselfly does acknowledge that guests may wish to pay by using down payments.  


Acceptance of your booking will be confirmed by us in writing. Please refer to your booking confirmation invoice for details regarding final payments. Payment of the balance for the trip is due 40 days prior to your trip departure.  In the case of your final payment not being finalized we reserve the right to regard your booking as cancelled and no previous payments will be refunded.


Accommodations will be in single rooms (single supplement applies) twin rooms, or double rooms with the exception of the residence in Paros. Paros accommodation will be bungalows/island villas (maximum of 6 people) with shared facilities.


In order for us to confirm your travel arrangements (accommodation, ferry tickets and inclusions listed in the itinerary) you must provide us with the requested details with the initial booking down payment for the trip. Necessary details include full name as stated on your passport, date of birth, nationality, passport number, passport issue and expiration dates, and any pre-existing medical conditions, dietary requirements, or any physical disabilities that may affect your travel arrangements and trip. Your booking cannot be confirmed without provision of these details.


For any bookings or additional services required by you, the customer, in order to be accepted within 15 days of departure we reserve the right to charge a minimal fee of 75 Euros to cover our administrative costs.


If you decide to cancel a trip after making a booking you will lose some or all of the money you have paid for the trip.  A cancellation will only be effective when we receive written confirmation by you of the cancellation. You are strongly advised to acquire/purchase cancellation insurance at the time of booking which will cover cancellation penalties in certain circumstances. If you leave a trip for any reason, after it has commenced, we are not obliged to make any refunds for unused services. 1 month prior to canceling is 25%, 3 weeks 50%, 2 weeks 100% of the cost of your trip. 


If you have paid monies in to the account for your trip and a cancellation is in effect, we will return your money to you. Bank and administrative fees will apply and be deducted from your final cancellation amount. 


In the event that we cancel a trip, we will notify you 60 days prior to departure. We may cancel a trip at any time prior to departure if, due to terrorism, natural disasters, political instability or other external events that prove it unsafe or not viable for us to operate the planned itinerary. If we cancel a trip you may choose between us applying the amounts paid toward an alternative trip, a future trip scheduled on a different departure date, or receiving a full refund. We are not responsible for any incidental expenses incurred towards you as a result of your booking such as visas, vaccinations or non-refundable flights.


For any amendments you choose to make to your Destination Damselfly booking and trip, you must notify us 60 days prior to the current and proposed departure date.  No fees will be charge to the customer except for any additional charges levied by hotels, ground operators and ferry companies. If you notify us less than 60 days prior to the proposed departure date, a fee of 100 Euros will be charged per person with the additional charges levied by hotels, ground operators and ferry companies. 


Please refer to the trip itinerary you have chosen for your inclusions. In general, all trips we operate, include: accommodation in twin or shared basis, transfers to/from airports & ferry ports, all breakfasts, some meals specified in trip itinerary, beverages specified in trip itinerary, afternoon treats specified in trip itinerary, local taxes, sightseeing and day trips as per itinerary, entrances fees to sites, all gratuities to Destination managers, drivers and local porters and location experts.


The price and fee of your trip does not include: International or domestic flights, airport taxes, excess baggage, visa and passport fees, travel insurance, optional activities and side trips, watersports, all personal expenses.


Our trip prices are based on currency exchange rates as of February 2018. We reserve the right to impose surcharges up to 60 days prior to departure due to unfavorable fluctuations in currency exchange rates, increases in ferry ticket fares, and/or other transportation costs, increases in local operator costs, local taxes, or if government action should require us to do so. In this unlikely event and in such instances, we will be responsible for the first 2% of the additional costs and you will be responsible for the balance. If any surcharge results in the increase of the amount of more than 10% of the trip price, you may cancel your booking within 20 days of the surcharge increase and receive a full refund.  We will not surcharge any booking for travel within the validity of this agreement and online brochure once paid in full.

14. AGE

Minimum general policy: The minimum age suggested to join any of our scheduled departures/trips is 24 years old.  
Maximum general policy: For the majority of our scheduled departures/trips we have no upper age limit though we kindly remind you that are trips are suggested and geared towards the 24 to 50 year old demographic. If you would like to book a trip, and due to our age restriction are unable to book online, please contact us.  Terms & Conditions may be waivered should a guest wish to travel with their friends but are under or over the age restrictions. 


Our trips are guaranteed to depart once they have a 8 fully paid travelers (unless minimum group size specifically states otherwise); this means at times we may have very small groups. Our trips are designed to be exclusive small groups, however many members may already know each other if they have travelled together previously or have booked a combination trip prior to arriving and commencing our scheduled departure.


You must carry and be holding a valid passport and have obtained all of the appropriate visas, permits and certificates for the countries in which you will visit during your trip.  Your passport must be valid for 6 months beyond the duration of the trip.  It is your responsibility to ensure that you are in possession of the correct visas, permits and certificates for your trip; please refer to the Tab section "What do you need" for details.  We are not responsible if you are refused entry to a country because you lack the correct passport, visa or other travel documentation.


Travel insurance is compulsory for all Destination Damselfly travelers and should be taken out at the time of booking. At a minimum your travel insurance must provide cover against personal accident, death, medical expenses, emergency repatriation and personal liability, with a minimum coverage of 200,000 AUD$.  We do strongly suggest and recommend that the travel insurance policy you purchase covers cancellation, curtailment and loss of luggage and personal effects. You must provide proof of your travel insurance on the first day and initial meeting with your Destination Manager, as we care strictly for the safety and well-being of our individual traveler, you will not be able to join the trip without it.


As a traveler we require you to acknowledge and appreciate that the nature of travel of this type, requires considerable flexibility and you should allow for alternatives.  The itinerary you choose and that which is provided for you, is representative of the types of activities contemplated, but it is understood that the route, schedules, itineraries, amenities and modes of transport may be subject to alterations without prior notice due to local circumstances, unforeseen weather conditions and other events.


While we endeavor to operate all trips as described, we reserve the right to change the trip itinerary. Please refer to our website before departure for the most recent updates to your itinerary. Before departure: If we make a major change we will inform you as soon as reasonably possible if there is time before departure.  The definition of major is deemed to be a change affecting at least one day in five of the itinerary.  When a major change is made you may choose between accepting an alternative trip offered. After departure: We reserve the right to change an itinerary after departure due to local circumstances or events outside of our control.  In such emergency circumstances the additional cost of any necessary itinerary alterations will be covered by you; please refer to the tab section "what you need" for your trip for details of Emergency Funds which you agree to carry, to be used in such instances.


Our scheduled group trips are run by a Destination Damselfly Manager (DM). The decision of the DM is final on all matters likely to affect the safety or well-being of any person participating in and on the trip. If you fail to comply with a decision made by the DM, or interfere with the well-being of the group and/or individuals travelling on the trip, the DM may ask and instruct you to leave the trip immediately, with no right to or of a refund.  You must at all times comply with the laws, customs, foreign exchange and drug regulations of all countries visited whilst on your trip, and you agree to travel in accordance with our responsible Destination Manager (DM)


You acknowledge that the nature of the trip is adventurous and participation involves a degree of personal risk. You will be visiting places where the political, cultural and geographical attributes may present dangers and physical challenges are greater than those present in our daily lives. We use information from government foreign departments and reports from our own contact is assessing whether
The itinerary should operate.  However it is also your own responsibility to acquaint yourself with all possible and relevant travel information and nature of your itinerary. You acknowledge that your decisions to travel has been made taking in to consideration the information and you accept that you assume the personal risks associated upon such travel.


We contract with a network of companies, accommodation suppliers, government agencies, ferry companies, coach companies and individuals that assist on a day to day basis in the running of our trips.  We act as agents for these third parties however we are not responsible for the acts and omissions by these third parties. 
To the fullest extent permitted by law: 
- Any liability for any loss, death, injury or damage which you may suffer (directly or indirectly) in connection with or arising out of your participation in a trip, or any breach of the Booking Contract, is excluded.. 
- You release us and our officers, employees, agents and representatives from any liability and expressly waive any claims you may have against us arising out of or in connection with your participation in a trip: 
- Any condition or warranty which would otherwise be implied by law into these Booking Conditions (Implied Warranty) is excluded.

To the extent an Implied Warranty cannot be excluded, our liability in respect of the Implied Warranty is limited to (in our absolute discretion): (i) the provision of a similar trip to an equivalent value; or (ii) a refund of the total amount received by us from you in connection with your booking. Any claim by you is excluded to the extent that it is for indirect or consequential loss, loss of profits or economic loss, however it arises, or for indirect, special, punitive or exemplary damages.


Optional activities not included in the trip price do not form part of the trip or this contract.  You accept that any assistance given by your Destination Manager or local representative in arranging, and suggesting optional activities does not render us responsible or liable for them.


Although we have made a concerted effort to verify the accuracy of statements made in our trip documentation, including online brochures, websites, social media and our itinerary, we cannot be held responsible for any error, omission or unintentional misrepresentation that may occur.


If you have a claim or complaint about your trip, please inform your Destination Manager or our local representative at the time in order for them to make a concerted effort to rectify the matter.  If satisfaction is not reached through these means, then any further claims or complaints should be put in to writing and sent to us within 30 days of the end of the trip.


In the event that any term or condition contained in these Booking Conditions is unenforceable or void b operation of law or as being against public policy or for any other reason that such term or condition shall be deemed to be severed from this contract or amended accordingly only to such extent necessary to allow all remaining terms and conditions to service and continue as binding.


You consent to us using images of you and taken by you during the trip for advertising and promotional purposes in any medium we choose. You grant us a perpetual, royalty-free, worldwide, irrevocable license to use such images for publicity and promotional purposes.  Should you choose to disallow the use of these images, please advise your Destination Manager upon arrival and at the start of your trip or in writing to us prior to your scheduled trip departure. 


Any personal information that we collect about you may be used for any purpose associated with the operation of a trip or to send you marketing material in relation to our events special offers. The information may be disclosed to our agents, service providers or other suppliers to enable us to operate the trip. We will otherwise treat your details in accordance with our privacy policy.


All travel arrangements regarding transportation to/from airports and ports, sightseeing, ferry tickets, are made directly with our ground handler Siva Travel Services and thus applicable to Greek trading laws.  Siva Travel Services has been and is a long standing member of the European Tour Operators Association (ETOA) and the Hellenic Association of Travel and Tourist Agencies (HATTA). Destination Damselfly Ltd is covered under the insurance policy of HCC.
